The booking system that ended a monthly software fee.

CR Coffee rents out the Crescent Room, a 12-seat meeting room on Magazine Street. Booking it used to run through Square Appointments, which costs a monthly fee. Now CoreRail sells the room, takes the payment, and tells the staff on shift the moment it happens.

The fee

The Crescent Room is good business: two and three hour rentals with drip coffee included, plus a coffee-and-pastry package for meetings. But the booking flow lived in Square Appointments, a subscription that charged every month for what amounts to a calendar, a payment, and a notification.

That's the pattern with small business software. Each need gets its own tool, each tool gets its own login, and each login gets its own monthly fee.

What I built

Booking moved into CoreRail, the same system the baristas already use for schedules and checklists. The public page shows the room, the three packages, and live availability. A customer picks a time and pays online.

What changed

The subscription is canceled. Nobody copies bookings between systems, and nobody gets surprised by a meeting walking in at 9 a.m. The people opening the shop that morning already knew: their phones told them when the booking happened.

This is the part I'd point at if you run a small business: the win isn't just the fee. It's that the sale, the calendar, and the staff all found out at the same time, from one system.
